GDPR data privacy notice regarding photo, audio and video recordings in the context of the conference Jurix 2022
The conference Jurix 2022 will be held partly in hybrid format meaning that for the transmission of sound, video and image data the conference organizer will use the collaboration software Microsoft Teams, or, alternatively, in some rooms a 360° video conference system (Meeting Owl). In addition, for public relations purposes, during the event, representatives of the press and the organizer may make image and sound recordings. In this document, the organiozer informs you about the nature and purposes of their processing of personal data, the legal basis for this processing and your rights as a data subject.
When participating in the conference and workshops on site, the conference software and the video conferencing system transmit images and sound to the online participants taking part in the event remotely via the video conferencing system. At several conference venues, the conference organizer uses the “Meeting Owl” system which has a 360° field of view. The organizer will not record the events unless for public relations purposes. Private recording and distribution of sound, image and videos of the event is prohibited.

If you do not wish to be recorded, on-site participation in this workshop is not possible. In this case, the organizers recommend participating in the event remotely, since then, guests can deactivate their camera and microphone and, optionally, choose a pseudonym. For those opting for this possibility, we have prepared a suitable on-site room (“lounge”) in the campus building of the Chair of Legal Informatics, A 5.4, room 0.12. Alternatively, you can use the Aula.

The data will be used for the following purposes:
The organizer is processing data by means of the video conferencing system to be able to offer the Jurix 2022 conference in a hybrid format.
In order to inform the public, Saarland University and cooperation partners of this event may publish these image and sound recordings. This includes particularly publication on the Internet, on social media channels (Facebook, Twitter, Instagram) and in print media (information brochures, press releases, presentations).
Legal basis for making the recordings and for using them:
Processing personal data for the purpose of hosting the hybrid conference Jurix 2022 is based on art. 6 para. 1 lit. e of the German Data Protection Regulation (DSGVO) in conjunction with § 3 para. 2 of the Saarland University Act (SHSG).
Publishing images in print media, on the Internet and other social media channels with the aim of promoting Saarland University and providing information on events having taken place there constitutes a legitimate interest under art. 6 para. 1 lit. f of the German Data Protection Regulation (DSGVO). In addition, § 23 of the German Art Copyright Act (Kunsturhebergesetz) is applicable as a legal basis.
Data subjects‘ rights:
As a participant of the event, you can exercise your right to information, correction, deletion and restriction of processing of any image recordings and you can complain to the competent supervisory authority.
Furthermore, you can object to processing recordings and data referring to you at any time.
